- Add a row for each data category — invoices, support tickets, employee records, whatever applies.
- Enter the retention period you already know, the trigger event it starts from, the start date (the day that trigger happened, if it already has), and the legal or business basis.
- Generate the schedule, download it as .txt, .html, or .pdf, and add the calculated dates to your calendar as reminders (.ics).
FileX supplies no retention periods — you do
Retention requirements vary enormously by jurisdiction, industry, and contract, and only you or your legal/compliance advisor can determine the correct period for a given category. This tool never asserts a number of its own — it only assembles the periods, triggers, and bases you type in, and does the date arithmetic once you give it a start date.
Every row can have a start date
Each row takes a start date — the day its trigger actually happened. That works for any trigger, not just collection: data collected on a known day, a contract that ended last June, an account closed last week. Give FileX that date and it calculates the review or deletion date from your retention period. Leave it blank when the trigger is still in the future — a contract that has not ended, an account still open — and the schedule states the rule instead of inventing a date. A row with a blank start date and a "date collected" trigger is treated as collected today, and its date is labelled an example.
Reminders, not just a document
A schedule nobody looks at again isn't very useful. For every row with a computed date, FileX can generate a standard .ics calendar file — import it into Google Calendar, Outlook, or Apple Calendar and get an actual reminder a day before the review date, with no account or server involved on FileX's end.
Frequently asked questions
Does this tool tell me how long I have to keep my data?
No. It has no built-in knowledge of any law or regulation. You supply the retention period and the legal or business basis for each category; the tool only formats them into a schedule and does the date math.
Is anything I type sent to a server?
No. The whole tool runs client-side — your categories, periods, and the generated schedule never leave your browser unless you copy or download them yourself.
How do the calendar reminders work?
FileX generates a standard .ics file with one event per row that has a computed date, plus a reminder alarm a day before. You import it into whatever calendar app you already use — FileX has no way to notify you itself, since there is no account or server involved.
